ChatGPT Prompts for Business That Save Real Time
These are the ChatGPT prompts for business I use most. They also work in Claude and Copilot. Set up the house rules once, then use the short prompts every day.
Clear context matters more than a long prompt. Tell AI who you are, what you need and what format helps you decide.
Start with the house rules below. Then the daily prompts can stay short.
Step 1
Set Your House Rules Once
Paste this into ChatGPT custom instructions, or into a Claude or ChatGPT Project. Every answer after that starts from your context.
About me: I lead [ROLE] at a [INDUSTRY] business. My team is [ROLES]. I make decisions about [AREAS]. How to answer me: • Lead with the answer, then the reasons • Use plain words and short paragraphs • Flag uncertainty and name what would settle it • Never invent numbers, quotes or sources • If my question is the wrong question, tell me the better one Shortcuts I may use: BRIEF = five bullet summary for a busy executive RISK = list risks, likelihood and the first thing to check PLAN = steps, owners and a date for each PUSH = argue against my idea as hard as you fairly can
Now you can type BRIEF or PUSH after any message and get that format.
Step 2
Turn Anything Into a Brief
Use this for long reports, email threads and articles.
BRIEF this for me: [PASTE] Then tell me the one decision it asks of me, if any, and the cost of leaving it alone.
Step 3
Think Through a Decision
Use this when you are stuck between options.
I need to decide: [DECISION] Options: [A], [B], [C] What matters most to me: [CRITERIA] What I know: [FACTS] Compare the options in a table against my criteria. Tell me what I am missing. Then give me your recommendation and the one sign that would change it.
Step 4
Write the Hard Email
Use this for the email you have been putting off.
Draft an email to [PERSON, ROLE] about [SITUATION]. What I need them to know: [POINTS] What I need them to do: [ASK] Tone: direct and kind. Under 150 words. No filler openings. Then give me a shorter version I could send as a text.
Step 5
Plan the Next 30 Days
Use this after a meeting or a big decision.
PLAN the next 30 days for: [GOAL] Team: [WHO] Constraints: [BUDGET, TIME, OTHER WORK] Show weekly milestones, an owner for each step and the first thing to do tomorrow morning.
