AI Agents for Business Automation, Role by Role

Think of AI agents for business automation as new roles on the team, each with one job and a manager. Here are five roles I see work well, and a role card you can fill in for any of them.

When I map AI agents with a leadership team, we never start with the tool. We start with the job description.

If you cannot describe the role in a paragraph, the agent will not know what to do either. So here are five roles worth starting with, each written the way you would explain the job to someone on their first morning.

Step 1

Use a Role Card for Every Agent

A role card is one page that says what the agent does, what it can touch and who it reports to. Fill one in before you build anything.

Role card to paste
AGENT ROLE CARD
Role name: [e.g. Inbox Triage Agent]
Reports to: [PERSON WHO APPROVES ITS WORK]
One line job: [WHAT IT DOES]
Starts when: [TRIGGER]
Can read: [SYSTEMS, FOLDERS, INBOXES]
Can write: [DRAFTS ONLY, OR WHERE]
Must never: [SEND, PAY, DELETE, PROMISE]
Hands back to a person when: [EXCEPTIONS]
Good work looks like: [ONE CLEAR EXAMPLE]
We measure: [MINUTES SAVED, ERRORS, RESPONSE TIME]

Step 2

Start With These Five Roles

Each role prepares work and hands it to a person. That is the safest place to begin.

  • Inbox triage. Sorts incoming email by type and urgency, writes first drafts for the easy ones.
  • Research scout. Gathers facts on a company, market or question and cites every source.
  • Report writer. Pulls the week's numbers and writes a one page summary for leaders.
  • Meeting closer. Turns transcripts into decisions, owners and a follow up draft.
  • Decision prep. Builds an options table with pros, risks and open questions before a big call.

Step 3

Pick One Role and Write Its Brief

Choose the role that touches the most hours on your team. Use this prompt to turn the role card into instructions the agent can follow.

Here is an agent role card: [PASTE ROLE CARD]
Turn it into clear agent instructions with: a role statement, step by step process, output format, rules, stop and ask conditions and three example inputs with ideal outputs.
Write it so someone joining the team next week could use it too.

Step 4

Give It a Manager and a Review Rhythm

Every agent needs a named person who checks its work. Daily at first, then weekly once it is reliable. Put the review in the calendar.
