AI Tools for Business Leaders, One per Job

Most teams pay for three tools that do the same thing. This is how I think about AI tools for business leaders. One tool per job, chosen on purpose, reviewed twice a year.

New AI tools launch every week. Your team does not need most of them.

Pick one tool for each job below, train people on it and say no to the rest until there is a clear gap. I name common options as examples, so test them on your own work before you buy.

Step 1

Map the Jobs First

List the jobs AI will help with on your team. Most leadership teams land on the same six.

  • General assistant. Writing, thinking, summaries. Examples, ChatGPT, Claude, Copilot, Gemini.
  • Research with sources. Answers with links you can check. Examples, Perplexity, or the search modes in the assistants above.
  • Meetings. Notes and action items. Examples, the built in tools in Teams, Zoom and Google Meet.
  • Slides and documents. First drafts of decks. Examples, Copilot in PowerPoint, Gamma, Canva.
  • Images and design. Visuals for posts and decks. Examples, Canva, ChatGPT images.
  • Automation. Connecting apps so work moves on its own. Examples, Zapier, Make, n8n, Power Automate.

Step 2

Pick One Tool per Job

Choose based on what your team already uses. If you live in Microsoft 365, Copilot may fit. If you live in Google Workspace, Gemini may fit.

Step 3

Audit What You Already Pay For

Many tools you already own have AI built in now. Check before you buy anything new.

[PASTE LIST]

For each, tell me if it now includes AI features and what they do. Flag overlaps where two tools do the same job.
Recommend one tool per job: writing, research, meetings, slides, images, automation.
List what I could cancel and what I would lose. Mark anything you are unsure about so I can check.

Step 4

Set a Simple Approval Rule

New AI tools go through one person, a two week trial on real work and a check of data terms. That rule alone stops most tool sprawl.

Questions About AI tools for business leaders

What are the best AI tools for business leaders?

One general assistant like ChatGPT, Claude, Copilot or Gemini, plus tools for research, meetings, slides and automation chosen to fit your existing software.

How many AI tools does a team need?

Usually one per job. Add a tool only when there is a clear gap the current stack cannot fill.

Should we use Copilot or ChatGPT?

If your team works mainly in Microsoft 365, test Copilot first. Otherwise compare both on your real tasks.

How do we stop AI tool sprawl?

Route new tools through one person, run a two week trial on real work and check data terms before buying.
